We’re excited to introduce our latest release, bringing a new wave of enhancements designed to simplify everyday operations, reduce manual work, and give your team greater control over how you manage your business. Don’t see these updates just yet? Don’t worry — they’re on their way! As always, we’re continuously improving NikoHealth to help your organization work smarter every day.
Here’s What’s New
Resupply: More Flexibility, Smarter Scheduling
Managing recurring resupply programs just got easier! We’ve introduced new capabilities to help you personalize patient outreach, streamline campaign management, and gain greater control over resupply schedules.
What’s new:
- Multiple Campaigns per Patient: Resupply items can now be assigned to different outreach campaigns, allowing patients with multiple product lines to participate in multiple campaigns simultaneously.
- Enhanced Resupply Reporting: Easily track and analyze outreach activity with a new optional Outreach Campaign column and filter in the Resupply Report, including support for sorting and exporting.
- More Scheduling Options: Go beyond traditional interval-based scheduling! Configure recurring resupply items using additional calendar-based scheduling options, including a specific day of the week, day of the month, or the first or last day of the applicable month. Existing interval-based scheduling options continue to be supported.
Why it matters: More personalized outreach, flexible scheduling, and better visibility into your resupply operations — all designed to help your team manage recurring patient needs more effectively.
Document Management: Stay Ahead of Expirations
Keeping patient documentation organized and up to date is now simpler with new expiration tracking and expanded Playbook capabilities.
What’s new:
- Document Expiration Tracking: Assign expiration dates to patient documents and quickly identify whether documentation is Active or Expired.
- Centralized Document Visibility: Easily find and manage expiring or expired documentation across your patient population with expanded search and filtering.
- Forms in Playbooks: Playbook templates can now include required Forms alongside Document Types, helping standardize documentation requirements.
- Automatic Document Matching: NikoHealth automatically associates matching documents and forms with their corresponding Playbook requirements.
- Improved Document Details: View expiration dates, document status, and expandable notes directly from Patient Documents.
- Centralized Patient Documents Queue: Easily locate and manage patient documents across all patient records from one centralized view, with enhanced search and filtering capabilities.
Why it matters: Spend less time tracking down documents, stay ahead of expirations, and make it easier to maintain complete patient records.
Order Automation: Let NikoHealth Handle More of the Work
We’re expanding the power of Order Automation with new capabilities that help reduce manual follow-up and ensure important work reaches the right people.
What’s new:
- Automatic Task Creation: Order Automation Rules can now automatically create tasks when specific conditions are met. Define the task title, description, category, and priority, and assign it directly to a user or team. Tasks are automatically linked to the associated patient and order.
- Insurance-Based Automation: Create more targeted automation rules based on a patient’s Primary, Secondary, or Tertiary insurance, including specific payers and payer plans.
Why it matters: Automate repetitive work, improve accountability, and ensure the right tasks are assigned to the right people without additional manual steps.
Billing & Payer Management: Less Manual Work, Faster Processing
We’ve introduced new billing capabilities designed to streamline claim submission and provide greater flexibility when managing payer specific billing requirements.
What’s new:
- Automatic Invoice Submission: Configure payers and payer plans to automatically submit eligible new invoices to the clearinghouse. Submissions occur after applicable invoice automation rules have been processed and follow existing claim submission requirements.
- Expanded Payer Invoice Split Rules: Gain greater control over how items are grouped on invoices with enhanced payer rules. Configure rules to automatically separate specific purchase or rental items that should not be combined on the same invoice. Rules can now be defined at the individual product level in addition to HCPCS codes, providing greater flexibility to accommodate payer specific billing requirements.
Why it matters: Reduce manual billing steps, streamline claim processing, and gain more flexibility in how payer specific billing workflows are managed.
Rental Management: More Control Over Rental Stop Dates
We’ve made rental management more flexible by giving your team greater control over when a rental ends.
What’s new:
- Flexible Rental Stop Dates: When stopping a rental, you can now select a past, current, or future Stop Date rather than being limited to the date the action is performed.
Why it matters: Better accommodate real world rental scenarios and manage rental timelines with greater accuracy and flexibility.
Inventory Management: More Control, Better Efficiency
We’ve introduced several inventory enhancements to simplify receiving, improve order fulfillment, and make vendor specific workflows easier to manage.
What’s new:
- Inventory Cost Review & Adjustments: A new dedicated workflow allows users to review recorded inventory transactions and associated unit costs, with the ability to adjust purchase prices on existing inventory receipts. Users with the new Inventory Cost Adjustment permission can make these updates, with all changes captured in the audit history, including the original and updated purchase prices, for full traceability and downstream reporting.
- Reserve or Backorder Items During Order Updates: Reserve and Backorder options are now available directly when adding items to an existing order, making it easier to manage inventory availability and streamline order fulfillment.
-
Vendor Specific Drop Ship Preferences: Configure a preferred Drop Ship Vendor and Unit of Measure (UOM) for each product. When an item is added to an order using the Drop Ship fulfillment method, NikoHealth automatically populates the preferred vendor and UOM, streamlining order entry and reducing manual selections.
Why it matters: Improve inventory accuracy, simplify order processing, and reduce manual adjustments across receiving and fulfillment workflows.
Import & Export: Bulk Data Management Made Easier
Managing large volumes of operational data just got more convenient! We’ve expanded export capabilities to make it easier to review, update, and maintain information in bulk.
What’s new:
- Inventory Locations Export: Export active inventory locations using the same format as the existing import template, making it easier to review, update, and re-import location information.
- Reorder Settings Export: Export inventory reorder settings, including PAR level configurations, for easier bulk review and maintenance.
- Vendor Accounts Export: Export inventory location vendor accounts, including Location ID, Vendor Name, and Account Number, using the existing import template format.
Why it matters: Spend less time managing data manually and simplify bulk updates across your organization.
Delivery & Shipping: Greater Visibility, Smoother Fulfillment
We’ve introduced new capabilities to help you track shipments, communicate delivery requirements, and improve delivery documentation.
What’s new:
- New Tracking Details Report: Gain shipment level visibility with a new report containing tracking numbers, carriers, ship dates, delivery dates, quantities, delivery addresses, drop ship vendors, and associated order, patient, and product details. Standard filtering, sorting, and exporting are supported.
- Drop Ship Special Instructions: Configure special delivery instructions for supported drop ship vendors, including options such as Ground Delivery, Next Day Delivery, and Signature Required. When selected, these instructions are included in the outbound Purchase Order sent to the vendor. Supported vendors include McKesson, Cardinal Health, and TwinMed.
- Improved Delivery Ticket Signatures: Patient signatures and date stamps are now larger and better positioned on Delivery Ticket PDFs, improving readability while preserving the original signature proportions.
Why it matters: Improve shipment visibility, reduce communication gaps with vendors, and provide clearer delivery documentation.
